This Privacy Policy explains how VisitorCast collects and processes personal data when you visit our website, book a presentation or use the VisitorCast service.

2. Personal data we collect
We may collect the following personal data:
Presentation bookings
When you book an online presentation through Calendly, we receive your:
- Name
- Email address
- Meeting information
VisitorCast accounts
When you use VisitorCast, we may process:
- Name
- Work email address
- Organisation and museum
- Authentication information
- Information about your use of VisitorCast, such as logins, data uploads, changes and forecasts
Authentication is provided through Clerk. VisitorCast does not store your password.
Technical information
When you access our website or service, technical information such as your IP address, browser information and security logs may be processed to operate and protect the service.
Museum data
Museums may upload aggregated visitor numbers and information about exhibitions and events.
VisitorCast is not intended for personal data about individual museum visitors. Customers must not upload names, email addresses, ticket identifiers, membership identifiers or other information that identifies individual visitors.
3. How we use personal data
We process personal data to:
- Arrange online presentations and respond to enquiries
- Create and manage VisitorCast accounts
- Provide and operate the VisitorCast service
- Record data uploads, changes and forecasts
- Provide customer support
- Protect the service and prevent unauthorised access
- Meet accounting and other legal obligations
We do not use personal data for advertising, newsletters or unsolicited marketing.
Personal data is not used to train forecasting models or other artificial intelligence systems. Customer data is used only to provide the service to the relevant customer.
4. Legal bases
We process personal data on the following legal bases:
- Steps before entering into a contract: when you request or book a presentation
- Performance of a contract: when we create an account and provide VisitorCast
- Legitimate interests: when we operate, secure and document the use of the service
- Legal obligations: when we retain billing or accounting information as required by law
5. Service providers
We use selected service providers to operate VisitorCast:
- Hetzner, for hosting and database services in Germany
- Calendly, for presentation bookings
- Google Workspace, for email and business communication
- Clerk, for user authentication
- A payment provider, such as Stripe, may process payments and billing details
These providers process personal data only as necessary to provide their services and according to their applicable contractual and data-protection obligations.
6. International transfers
VisitorCast is primarily hosted in Germany.
Some providers, including Calendly, Google and Clerk, may process personal data outside the EU or EEA, including in the United States.
Where required, such transfers are protected through recognised legal safeguards, such as an adequacy decision, the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.
7. Retention
We retain personal data only for as long as necessary:
- Presentation enquiries are normally deleted within 30 days
- Account and customer information is normally deleted within 30 days after the customer relationship ends
- Technical and activity logs are retained for up to 180 days
- Deleted information may remain in backups for up to 90 days
- Accounting and billing records are retained for the period required by Danish law
Third-party providers may retain certain information according to their own legal obligations and retention policies.
8. Cookies
VisitorCast does not currently use analytics, advertising or marketing cookies.
When you follow a link to Calendly, Calendly may use cookies and process information according to its own privacy and cookie policies.
We will update this policy and introduce an appropriate consent mechanism before using non-essential cookies on VisitorCast.
9. Security
We use appropriate technical and organisational safeguards, including:
- Encrypted HTTPS connections
- Access controls
- Multi-factor authentication
- Backups
- Restricted access to personal and customer data
No online service can guarantee absolute security, but we take reasonable measures to protect the information processed through VisitorCast.
10. Your rights
Subject to the conditions in applicable data-protection law, you may have the right to:
- Access your personal data
- Correct inaccurate personal data
- Request deletion of your personal data
- Restrict processing
- Object to processing based on legitimate interests
- Receive certain personal data in a portable format
You may also request an export or deletion of your VisitorCast data.
To exercise your rights, contact hello@visitorcast.com. We may ask you to confirm your identity before processing your request.
You may lodge a complaint with the Danish Data Protection Agency, Datatilsynet, or another competent supervisory authority.
11. Children
VisitorCast is intended only for organisations and professional users. It is not intended for children, and we do not knowingly collect personal data directly from children.
12. Changes to this policy
We may update this Privacy Policy when VisitorCast or our data-processing practices change. The latest version will be published on our website with an updated date.
